Enabling Filtering on Users in the Activity Log

Problem

A customer is viewing the Activity Log in the Reltio Dashboard and needs to filter the log by individual users. This will allow them to isolate and view the activity of a specific user. However, the current setup only allows basic filtering and does not support user-specific filtering.

Solution

To enable filtering of activity logs by users, you must have the ROLE_TENANT_ADMIN role. This role allows you to apply more advanced filtering options, including filtering by individual users, in the Activity Log section of the Reltio Dashboard.

1. Role Overview:

  • ROLE_ACTIVITY: This role provides access to monitor activity logs in the Dashboard. While it allows basic filtering capabilities, it does not support filtering by individual users. This role is ideal for general monitoring tasks but may not provide sufficient granularity for filtering activities by user.
  • ROLE_TENANT_ADMIN: To filter activity logs by a specific user, assign the ROLE_TENANT_ADMIN role. This role enables more advanced filtering options, allowing you to view the activity of individual users in the log.

2. Steps to Enable User-Specific Filtering:

  1. Assign the ROLE_TENANT_ADMIN Role to the User:
    • Navigate to the Reltio Admin Console.
    • Go to the Users section and select the user for whom you wish to enable user-specific activity filtering.
    • In the user details, assign the ROLE_TENANT_ADMIN role.
    • Save the changes. The user will now be able to filter the activity log by specific users.
  2. Access the Activity Log:
    • Once the ROLE_TENANT_ADMIN role is assigned, the user can go to the Activity Log section in the Reltio Dashboard.
    • In the Activity Log, they can now apply advanced filters, including user-specific filters, to view the activity of particular users.
  3. Applying Filters:
    • In the Activity Log view, use the filtering options to search for activities associated with specific users.
    • You can now filter by the user and other parameters such as activity type, date range, and more.

3. When to Use Each Role:

  • ROLE_ACTIVITY: If you only need access to the Activity Log for basic monitoring, this role will suffice. However, it will not allow you to filter by individual users.
  • ROLE_TENANT_ADMIN: Use this role when you need to apply user-specific filters to the Activity Log. It provides full administrative access to manage tenants, including advanced filtering in the Activity Log.

4. Additional Considerations:

  • User-Specific Filters: The ability to filter by individual users is helpful for tracking specific user actions within your system. Ensure the user has the appropriate role to prevent unauthorized access to sensitive activity logs.
  • Access Control: As a Tenant Admin, the user will have elevated privileges. Be mindful of assigning this role to ensure that only trusted individuals can perform administrative tasks and access detailed activity logs.

5. Conclusion:

By assigning the ROLE_TENANT_ADMIN role, you can enable user-specific filtering in the Activity Log, allowing users to view the activity associated with particular individuals. This is essential for detailed monitoring and auditing of user actions within Reltio.
